# Payment Receipt Issuance Guide

## 1\. What is a Receipt?

A **Receipt** is a document that confirms the payee has received your payment. It is proof of payment, not a tax document — it **cannot be used for tax deduction**.

| | Receipt | Invoice |
|-----------------|--------------------------------|---------------------------------------------|
| Purpose | Confirms payment received | Commercial document, supports tax deduction |
| Issued after | Payment completed | Per tax rules |
| Tax information | No | Yes |
| How you get it | Self-service, generated as PDF | Per tax rules |

> If you need a document for tax deduction, please apply for an **Invoice** instead. The Receipt and the Invoice serve different purposes and are not interchangeable.

## 2\. Before You Start

### 2.1 Who can use this

**Entry point:** Cost Center → Overview → **Receipt** button (next to Top Up / Withdraw).

### 2.2 Prerequisites

- **Verified buyer information is required.** Your account must have approved company/buyer information on file. If your account has no such information, or the information has not been approved, the **Receipt button is disabled**.
- You can maintain your company information under **Cost Center → Buyer Information**. Please complete this first if it is missing.

### 2.3 Which transactions are eligible

- Only top-ups to your **cash account** (payments made with real funds).
- **Bonus / credit top-ups are not eligible** and will not appear in the list.
- Transactions already covered by a Receipt cannot be selected again.
- Receipts can be issued for transactions from **1 August 2026 onward**. For anything earlier, please contact your account manager — those are handled manually.

---

## 3\. Issuance Process

Receipt issuance is a **3-step wizard**. You select the transactions, confirm your details, and submit. The PDF is then generated in the background.

### Step 1 — Select transactions

A list of your eligible top-up transactions is shown. Tick the ones you want on the Receipt.

- **Search by month.** Results default to the current month. The earliest available month is August 2026.
- **What you can select:** transactions not yet receipted, plus any whose previous issuance failed.
- **What you cannot select:** transactions already covered by a Receipt, and transactions currently being processed. These still appear in the list but are greyed out with an explanation on hover.
- **No eligible transactions?** The page shows *"No eligible transactions found."* — this means everything has already been receipted, or you have no eligible cash top-ups.
- **Additional Info (optional).** Up to 200 characters. Anything you enter here (for example bank details) is printed on the Receipt. It is **not** saved to your account profile and does not change your account information.

At least one transaction must be selected before you can continue.

### Step 2 — Confirm Payer information

Review the summary before submitting:

| Item | Description |
|-----------------------|-------------------------------------------------------|
| Transactions selected | Number of transactions on this Receipt |
| Received Amount | Sum of the selected transactions, e.g. `3,800.00 USD` |
| Receipt Date | The date you submit |
| Currency | Your platform's currency |
| Payer | Your company details, see below |

**Payer information** comes from your approved Buyer Information. If you have approved information on file, your full company details are shown. If you do not, only your **Company ID** is shown — you can still submit.

> Please check the Payer information carefully. The Receipt is generated from exactly this data and **cannot be modified after submission**.

### Step 3 — Submitted

Once submitted, the system queues the PDF for generation. You will see a success message with your **Receipt No.** and a status of **Exporting**.

From here you can either close the window, or go straight to the **Export Records** page to track progress.

## 4\. What the Receipt Contains

The Receipt is issued as an **English PDF**.

| Section | Contents |
|-------------------|-------------------------------------------------------------------------------------------|
| Header | Platform logo and Receipt No. |
| Title | Platform name + RECEIPT |
| Basic info | Receipt No., Receipt Date |
| Payee | The receiving entity (platform side) |
| Payer | Your company name, company ID, billing address, telephone, email, tax registration number |
| Payment Details | Currency, total received amount, and a table of the included transactions |
| Transaction table | Serial number, transaction time, payment method, amount |
| Additional Info | Anything you entered in Step 1 (omitted if empty) |
| Disclaimer | A fixed statement that this receipt confirms payment received |

**Receipt No. format:** `RCT` + platform code + year/month + 5-digit serial number. Example: `RCT12620270800086` — issued in August 2026, serial 00086. Numbers are unique and increment monthly, with a separate series per platform.

**About your Payer details:** fields with no value on file are simply omitted from the Receipt (for example, if no telephone number is recorded, that line does not appear). Company name, company ID and billing address are shown whenever they are available.

## 5\. Downloading Your Receipt

All generated files are listed under **Cost Center → Export Records**.

The list shows: Task ID, File Name, Type, Created Time, Status, Format, Expire Time, and available actions.

**File naming:** `RECEIPT-{Account ID}-{Receipt No}-{date}.pdf` Example: `RECEIPT-65848351-RCT12620270800086-20260730.pdf`

### Task statuses

| Status | Meaning | What you can do |
|---------------|------------------------|-------------------------------------------|
| Exporting | PDF is being generated | Wait |
| Completed | PDF is ready | **Download** |
| Export Failed | Generation failed | Re-apply from the Receipt wizard (Step 1) |

**If generation fails**, the task does not support retry from the list. Please start a new application from the Receipt wizard — the affected transactions become selectable again, so they will appear in Step 1.

### How long records are kept

- Tasks that are **not Completed** are shown for the **last 30 days**.
- **Completed** tasks are shown for the **last 12 months**.

Records outside these windows are hidden from the list. We recommend downloading and saving your Receipts once they are ready.

## 7\. FAQ

**Why is my Receipt button greyed out?** Your account does not have approved buyer information. Complete it under Cost Center → Buyer Information, then try again.

**Why can't I see one of my top-ups?** It may have been paid into your bonus/credit balance rather than your cash account, it may have already been receipted, or it may predate 1 August 2026. Transactions already covered by a Receipt are shown but cannot be selected.

**Can I change the Receipt after submitting?** No. The Receipt is generated from the information you confirmed in Step 2, so please check it before submitting.

**My receipt generation failed. What now?** Start a new application from the Receipt wizard. The transactions will be available for selection again.

**Can I have several transactions on one Receipt?** Yes. Select any number of eligible transactions in Step 1 and they will be issued as a single Receipt.
